Whitehills Care Ltd ("we", "us") is the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office under registration number C1494277.

Information We Collect

Through this website we collect only what you choose to send us:

• Your name and the contact details you give us, so that we can reply
• Anything you write in an enquiry or feedback form
• Information you provide when applying for a role with us

Email address and postcode are optional on our enquiry form. A telephone number is enough for us to call you back.

Please do not send detailed health information through the website. If your enquiry involves medical or care needs, we will discuss those with you directly and record them under the safeguards that apply to care records.

Why We Use It, and Our Lawful Basis

• To respond to your enquiry — our legitimate interest in answering people who contact us
• To arrange and provide care — performance of a contract, and for health data, the provision of health or social care under Article 9(2)(h) UK GDPR
• To consider a job application — steps taken at your request before entering a contract, and our legal obligations around safe recruitment
• To meet our regulatory duties — legal obligation, including our responsibilities as a CQC registered provider

How Long We Keep It

Website enquiries that do not lead to a service are kept for up to twelve months and then deleted. Care records and employment records are kept for the periods set by law and by regulatory guidance, which are longer. We do not keep personal information for longer than we need it.

Who We Share It With

We do not sell personal information and we do not share it for marketing. We share it only where we need to in order to provide care or to meet a legal duty, for example with healthcare professionals involved in your care, a local authority or NHS body funding it, or a regulator. Our suppliers who process information on our behalf do so under a written contract and only on our instructions.

Your Rights

Under UK data protection law you may ask us to give you a copy of your information, correct it, delete it, restrict how we use it, or object to our using it. You can also ask us to transfer it to another provider. To exercise any of these rights, contact us using the details below. We will respond within one month.

If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113. We would rather you told us first so we can put it right.

Cookies and Analytics

This website uses cookies that are necessary for it to work, including one that protects our forms against cross-site request forgery. Where analytics are enabled, they are used to understand how the site is used in aggregate, not to identify you. You can block or delete cookies through your browser settings; the site will still work.

Data Security

This site is served over an encrypted connection. We maintain compliance with the NHS Data Security and Protection Toolkit, most recently 2025-26 (version 8), Standards Met.

Photographs Used on This Website

The photographs on this website are licensed stock images used for illustration. Unless a caption says otherwise, the people shown are models, not our clients or our staff, and the settings are not our clients' homes.

This is deliberate. The people we support have a right to privacy and their homes are not marketing material, so we do not photograph them for the website. Where we ever publish a photograph of a real client or member of staff, it will be with their written consent and it will say so.

We review this policy periodically. The date at the top shows when it was last changed.
